The paperwork burden in school programs is enormous, and it falls almost entirely on a handful of overworked people. We think that's fixable — with the right software, built specifically for them.
Paper form workflows don't just create inconvenience — they create real harm. A student handed a physical health form on a Tuesday may lose it before Friday. A parent who works two jobs may never see it until after the first game has already been missed. And every clipboard of handwritten emergency contacts and physician signatures sitting in an unlocked filing cabinet is a FERPA violation waiting to happen. Digital forms aren't a nice-to-have; for programs that take compliance seriously, they're the only defensible option.
How we work
Every architectural decision at FormVault starts with compliance. Student records are educational records under FERPA, and we treat them that way. AES-256-GCM encryption, 84+ audit event types, and role-scoped access aren't add-ons — they're the foundation. We built compliance in before we built anything else.
Athletic directors manage dozens of sports, hundreds of students, and thousands of forms — on top of everything else their job demands. FormVault was designed for someone with 200 things to do before 8am. Setup takes 10 minutes. Running a campaign takes less than one. No training required.
There's a difference between simple and dumbed-down. FormVault handles complex workflows — multi-party signatures, physician clearances, year-over-year data carry-forward — without exposing that complexity to the people using it. The hard parts happen automatically. What you see is a clean, obvious interface.
Every feature in FormVault was evaluated against one question: does this help get more students completed and cleared faster? For now, we're staying focused. Our founding schools are K-12 athletic directors who need a solution that works today — not a roadmap promise. Once we've built something they truly love, we'll expand. That's the only sequence that makes sense. We'd rather be the best solution for one market than a mediocre solution for five.
We measure our success by one metric: how many students got to participate because their paperwork was done on time. Every feature we ship, every compliance decision we make, and every school we onboard is evaluated against that standard.
