Frequently Asked Questions

What exactly does a QR code campaign include?

Each campaign generates a unique QR code image for printing plus a shareable URL. Both link to the same form flow, so you can post the QR code in your gym and send the link via email simultaneously. Scan and click rates are tracked separately.

How many QR code campaigns can I create?

Unlimited. Create separate campaigns per sport, per season, per event, or per form type. Each gets its own QR code, independent completion tracking, and its own deadline. There is no cap on active campaigns.

Can parents complete the form without scanning a QR code?

Yes. Every campaign also has a direct shareable link you can send via email, text message, or post on your school website. The QR code and the link go to the same form — parents can use whichever is more convenient.

What format is the QR code and can I customize it?

QR codes are exported as PNG files suitable for printing or embedding in emails and documents. Basic color customization is available to match school colors. For reliable scanning, print at a minimum of 2×2 inches.

Does each student get their own submission, or is it one shared form?

Each parent or student who scans creates their own unique submission linked to their student profile in the system. Rosters are managed by the athletic director — new participants are added through the campaign enrollment flow.

Do QR codes expire when the campaign deadline passes?

Yes. When a campaign deadline passes, the QR code and link automatically deactivate. Anyone who scans after the deadline sees a clear message explaining the campaign has closed and who to contact. No accidental late submissions.
